The work behind the front desk, handled.
Less chasing, fewer gaps between shifts, and a hiring process that doesn’t drag. We set it up and keep it running.
The admin work nobody has time for
-
Missed appointments
Reminders go out when someone remembers. No-shows get a call only if the front desk has a quiet minute.
-
Discharge instructions that depend on who is working
Two clients with the same kind of visit can go home with different instructions.
-
Knowledge stuck in one person’s head
How things get done lives with whoever has been there longest. When they’re off, the team guesses.
-
Hiring that drags
Resumes, notes and opinions pile up, and someone has to turn them into a decision.
Most of this work isn’t hard. It’s repetitive, easy to forget, and it lands on the people you’d rather have with patients. That’s the part we take on.
What we take on
We design around how your hospital actually runs, then scope the combination you need.
Client communication
Client messages that go out without anyone having to remember.
Reminders, confirmations, no-show follow-up, post-visit instructions and review requests.
Documentation and handoffs
How your hospital runs, written down where everyone can find it.
SOPs the whole team can find, shift and rounds handoff notes, and onboarding material.
Hiring and onboarding
A clear shortlist, without the pile of resumes.
Applicant aggregation, scoring and ranking.

A recent project.
A multi-day hiring review, done in minutes
A Chicago emergency veterinary hospital needed to choose its interns. More than 10 physicians had scored and commented on more than 40 applicants. We combined the scores, summarized the written feedback and produced a ranked list.
What used to take days by hand now takes minutes. The same problem shows up in any practice where several people weigh in on one decision.
The summarizing ran on an AI model hosted on our own machine, so applicant comments were never sent to an outside AI company.
How it works
We’re taking on a small number of founding clients.
-
A short audit
We look at how your location runs day to day, with your team, and find where you’re losing time.
-
Pick 3 or 4 modules
We come back with a list of improvements we think would make a real difference. You pick the 3 or 4 you want, and nothing you don’t need.
-
We build and hand over
We set it up, test it with your team and write down how it works.
-
Ongoing support
We stay on to keep things running and adjust as your hospital changes.
Questions you may have
Do you replace our practice management software?
No. We work alongside it. Your records, scheduling and billing stay where they are.
What if I don’t understand how it works?
We do the setup and explain it in plain language. You don’t need an IT person on your side.
What happens to our data?
We only touch what’s needed for the work, and we agree on it with you up front. Every decision is made with your hospital’s best interests in mind. We do collect some information through this site, and our privacy policy explains what.
Do you support clinical decisions?
No. We work on administrative tasks only. Diagnosis and treatment stay with your veterinarians.
